2. Membership applications
When an organisation applies to join IKONIKAS through the form, we process the following data: the organisation’s name and type, contact person, job title, work email, phone and website (if provided), city and country, and the reason for the application. Together with this data we store the date, IP address and browser from which it was sent, to prevent automated submissions and abuse.
- Purpose: assessing the application, contacting the organisation and, if approved, managing its membership. No automated decisions are made: every application is reviewed by a person.
- Legal basis: your consent when submitting the form (Art. 6(1)(a) GDPR) and, for professional contact details, our legitimate interest in maintaining the relationship with the organisation you represent (Art. 6(1)(f) GDPR and Art. 19 of the Spanish LOPDGDD). Technical data is processed on the basis of our legitimate interest in keeping the service secure.
- Publication: submitting an application does not mean the organisation’s name or logo will be published. They will only appear on ikonikas.com if membership is approved and the organisation expressly authorises it.
- Retention: for as long as the membership lasts. If an application is not approved or is withdrawn, the data is deleted no later than twelve months after the decision.
- Communications: we will only send you communications about IKONIKAS if you ticked the corresponding box. You can withdraw this consent at any time by writing to hola@ikonikas.com or using the unsubscribe link in each message.
3. Recipients and data location
Your data is not shared with third parties or used for advertising. It is stored on the server hosting this website, located in Spain, and is only accessed by the IKONIKAS staff who manage memberships and by the technical hosting provider, which is bound by confidentiality. There are no international transfers.
4. Cookies and analytics
ikonikas.com does not use cookies or any analytics or advertising tools, and does not embed third-party content that sets them. That is why you won’t see a cookie banner. Like any web host, the server records the IP address and the request made in its technical logs in order to keep the service secure; these logs are kept for a maximum of twelve months.
5. Data from the previous website
Until July 2026, ikonikas.com was a website with a shop, contact forms and a newsletter. The data collected at that time is kept securely and offline, with no active processing: order and billing data, contact details of people who wrote through the forms, and newsletter subscriptions. Billing data is kept to comply with legal obligations (Spanish commercial and tax law, up to six years); the rest is kept on the basis of legitimate interest for as long as necessary and will be deleted when it no longer is. It is not shared or used to send marketing communications.
6. Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw your consent, at any time by writing to hola@ikonikas.com and stating which right you wish to exercise. We will reply within one month.
If you believe we have not handled your request properly, you can lodge a complaint with the Spanish Data Protection Agency (www.aepd.es).
7. Changes to this policy
If our processing changes, we will update this policy. The date of the last update is shown at the top of the page.
